Premium venues typically require F&B minimums on top of room rates — $150–$400/person/day. Add 20–25% service charges and 8–10% tax. A group of 20 at a venue with a $200/day F&B minimum means an additional $4,000/day, $12,000 for 3 nights, before the first bottle of wine is opened.
In-house AV at hotel properties is frequently the most marked-up line item — $3,000–$12,000/day for a full AV setup is not unusual at premium venues. Consider bringing your own AV team for longer engagements. Budget $500–$2,000/day for AV minimum at premium properties.
Ground transportation for 20–50 people between airport and venue, and between venue and activity locations, adds up quickly. Budget $80–$200/person for airport transfers each way. Activity shuttle services: $1,000–$4,000/day depending on distance and vehicle type.
Executive retreat facilitators (the good ones) charge $8,000–$25,000/day. A 3-day retreat with a quality facilitator adds $24,000–$75,000 to the budget. This is the line item most frequently cut — and most frequently cited as the reason a retreat did not achieve its objectives.
